2. Categories of data
Depending on use, Be useful processes account data (email address, sign-in and session data), profile information (first and last name and an optional profile picture), career and employer profiles, job listings, applications, direct messages, reports and blocks, support requests (topic, message, status and response time), robot and component data, simulations, tests, documents, technical content you enter, error histories, AI requests and AI responses, usage and quota data, as well as product, status, expiry and purchase token information for paid plans. Technically necessary logs may contain IP address, time, device, operating system, browser/app version and error messages.
3. Purposes and legal bases
- Contract and account: registration, sign-in, provision of the learning, robotics, simulation, career, messaging and subscription features as well as support and billing under Art. 6(1)(b) GDPR.
- Security and moderation: abuse prevention, fraud prevention, error analysis, stability, handling of reports and enforcement of the community rules under Art. 6(1)(f) GDPR. Our legitimate interest is the safe and reliable operation of the service and the protection of users and our systems.
- Legal obligations: compliance with commercial, tax and regulatory obligations under Art. 6(1)(c) GDPR.
- Consent: where processing exceptionally relies on consent, Art. 6(1)(a) GDPR applies. Consent can be withdrawn at any time with effect for the future.
4. Visibility, messages and applications
User profiles with first and last name are not visible in search by default. Only after you actively enable it do you appear with first and last name, profile picture and joining date in the community member list; other signed-in users can then also find you via search and start a conversation. With a visible profile you can voluntarily name topics you help others with (“Offer help”); they appear next to your name and in the search for help and can be removed at any time. You can switch this off again. With a visible profile you can publish posts about humanoid robotics in the “Robotics feed”, comment, like posts and follow other members. All signed-in members see posts and comments with your first and last name and profile picture; whom you follow and which posts you like is shown to others only as a number. You can delete your own posts and comments at any time; if you make your profile invisible, they are no longer shown to others. The legal basis is the performance of the terms of use (Art. 6(1)(b) GDPR). Uploaded profile pictures are stored in a publicly accessible image storage; therefore only use a picture that may be shown publicly. Career profiles are private by default. They are only shown publicly or made discoverable for employers after you deliberately enable this, and this can be switched off at any time. Direct messages are intended for the respective conversation participants. In the app (Android and iPhone), you only receive push notifications about new messages and status changes of your applications if you switch them on under “Account” (consent under Art. 6(1)(a) GDPR); for this, Be useful stores a device token of your phone. The notification contains no message text, no sender name and no details of the application. You can switch it off in the app at any time; when switching it off and when signing out, the device token is deleted. When you apply for a job, Be useful transmits your message, links and the displayed profile excerpt to the employer who posted the job in order to carry out the application you requested, under Art. 6(1)(b) GDPR. The employer processes applicant data for its own selection process under its own data protection responsibility; for employers, § 26 BDSG (German Federal Data Protection Act) may also be relevant. Reported content and the necessary context can be viewed by the operator for review. Please do not submit special categories of personal data or confidential information that is not necessary.
Verifiable certificate: If you start the free certificate exam “Humanoid robotics” in the app, Be useful stores the questions chosen by the server and the start time in order to grade the exam, limit the time and allow at most three attempts in 24 hours. Your answers are graded but not stored. If you pass, we store the name you enter for the certificate, the result, the date of issue and a random verification code. Anyone who knows the link or the verification code can see the name, result and date under /zertifikat; the pages are blocked for search engines. You can delete a certificate in the app at any time, after which the link and the verification code no longer work. Certificates and exam attempts are deleted with your account. The legal basis is Art. 6(1)(b) GDPR (a feature you requested).
5. Device storage and robot connection
The app for Android and iPhone stores recently loaded robot, career and chat data on your device so that it remains visible without internet. This data is deleted when you sign out. If you use the ROS 2 connection, the app connects directly to the rosbridge address you entered; control commands and robot data do not pass through Be useful servers. The address and the speed limits are stored in your robot profile (Art. 6(1)(b) GDPR).
Age check in the iPhone app: If statutory age requirements apply to you (for example in individual US states, Brazil or Australia), the iPhone app asks for your age range after sign-in via Apple’s “Declared Age Range” interface (under 13, 13–15, 16–17, 18 and over). You decide in Apple’s dialog whether to share it. Be useful only receives the age range, never your date of birth; it is stored only on your device, is not transmitted to Be useful servers and is requested again after seven days. Under 16 or without a shared age range, community and careers remain closed and your profile is hidden from the member search; knowledge, simulation and ROS 2 remain available. The legal basis is Art. 6(1)(c) GDPR (statutory age requirements) and Art. 6(1)(f) GDPR (protection of minors).
The website only uses technically necessary cookies and browser storage, no analytics or advertising cookies: sign-in cookies from Supabase keep you signed in and are deleted when you sign out; the cookies “agnosis-language” and “agnosis-legal-language” remember your choice of language for one year. Browser storage (localStorage) holds the chosen language, your learning progress and settings of the web simulator, such as the rosbridge address; this data does not leave your device. For offline use, the website also keeps its own program files in the browser cache. You can delete cookies and browser storage in your browser at any time. The legal basis is Section 25(2) no. 2 TDDDG, and for the subsequent processing Art. 6(1)(b) and (f) GDPR (providing the functions you request).
6. AI features
Since 29 Sep 2026 Be useful no longer offers AI analyses and does not transmit any data to AI providers. Until then, input and the selected technical context were only transmitted to OpenAI when an AI analysis was expressly started. Previously saved analyses remain in your account until you delete them or your account.
7. Recipients and processors
- Supabase: authentication, database and, where applicable, storage functions – privacy information.
- Google Cloud (Cloud Run, region Belgium): hosting and technical delivery of the web and API services – privacy information.
- Google Firebase Cloud Messaging: delivery of push notifications you have switched on to your Android device; device token, time and the general notification text without message content are processed – privacy information.
- Apple Push Notification service: delivery of push notifications you have switched on to your iPhone; device token, time and the general notification text without message content are processed – privacy information.
- Sentry (Functional Software Inc., storage location Frankfurt am Main): error analysis of the Android and iPhone app. If the app crashes or a view fails, it transmits the technical error (error type, shortened error message, code location), operating system and version, and the affected app area. No account ID, e-mail address, device identifiers or content are transmitted; e-mail addresses and links in error messages are masked beforehand. The legal basis is Art. 6(1)(f) GDPR (stable and secure operation of the app) – privacy information.
- Resend: delivery of an email to the operator for every new support request (Pro Max plan) so that it can be answered on time; topic, message, plan, response time and the email address of the requesting person are processed (Art. 6(1)(b) GDPR) – privacy information.
- Google Play: purchase processing, subscription status and fraud prevention for Android subscriptions – privacy information.
- Apple App Store: purchase processing and subscription status for subscriptions in the iPhone app; Be useful receives transaction data signed by Apple (product, period, renewal status, a transaction number and your Be useful user ID), but no payment data – privacy information.
Supabase, Google Cloud, Resend, Sentry and Google Firebase Cloud Messaging process your data on our behalf under data processing agreements pursuant to Art. 28 GDPR. They may use the data only on our instructions and are obliged to protect it at least to the level described in this privacy policy. Apple (App Store and push delivery) and Google Play process data for purchases and push delivery as independent controllers under their privacy policies linked above. Other recipients only receive data if this is necessary for the service, there is a legal obligation or you have consented.
8. Transfers to third countries
The service providers named may process data outside the EU or the EEA. This only takes place on the basis of an adequacy decision, in particular the EU-U.S. Data Privacy Framework where the respective recipient is validly certified, or on the basis of the EU Standard Contractual Clauses and any necessary supplementary measures. You can request information on the safeguard used in the individual case and a copy or reference at the email address above.
9. Storage period
- Account, profile, robotics, learning, simulation and message data are generally stored until you delete them or until the account is deleted.
- Support requests are stored until your account is deleted; the notification email to the operator is deleted once the request is resolved and no statutory retention obligation applies.
- Device tokens for push notifications are stored together with the selected app language (so that the notification appears in that language) until you switch off notifications, sign out on the device, delete your account or Google or Apple reports the token as invalid.
- Job listings and applications are stored until they are deleted by those entitled, until the associated account ends, or for as long as they are necessary for the respective application process.
- Reports and the evidence required for them are kept until the review is completed and afterwards only for as long as necessary for abuse prevention, legal defence or legal obligations. They are reviewed at least once a year to check whether they are still needed.
- App crash reports at Sentry are deleted automatically after 90 days at the latest.
- Technical security and error logs are deleted or anonymised once their purpose has been achieved; in the case of security incidents they may be kept until the investigation and any legal proceedings have been completed.
- Billing and contract documents are stored for the applicable commercial and tax retention periods and then deleted.
10. Account deletion
You can request deletion of your account in the app under “Account”; an option outside the app is available under Delete account. Deleting an Be useful account does not automatically end a subscription taken out on Google Play. Cancel such a subscription beforehand in the Google Play subscription center. The same applies to subscriptions via the Apple App Store; you cancel these in your Apple Account settings. Data that must be retained by law is blocked and processed only for the prescribed purpose.
11. Rights
Subject to the legal requirements, you have the right of access, rectification, erasure, restriction of processing, data portability and objection. Where processing is based on consent, you can withdraw it at any time for the future. You can also lodge a complaint with a data protection supervisory authority, in particular the authority responsible for your place of residence or for the controller. Please send requests to the email address above.
12. Mandatory information and automated decisions
For registration and protected features, the data designated for them is contractually required; without it, these features cannot be provided. Be useful does not make solely automated decisions with legal or similarly significant effects within the meaning of Art. 22 GDPR.
13. Security and changes
Be useful uses appropriate technical and organisational measures to protect personal data. This policy is updated when features, service providers or legal requirements change. Material changes are indicated in an appropriate manner.
